Use case · LIMS implementation

LIMS software: every entry is a traceable record from day one.

LIMS software replaces paper notebooks, spreadsheets and handwritten labels with one laboratory information management system. Technicians, analysts and QA reviewers now log samples, enter results and approve them in a system that records every entry, where each correction needs a documented reason.

The short answer

What makes a LIMS software implementation succeed?

Train people outside the validated system, then guide them inside the live screens. Three moments matter.

Before go-live · K-STUDIO

Practice outside the validated system

Sample login, result entry, review: every step rehearsed without creating a single real record.

At result entry · K-NOW

Guidance in the result screen

The entry or correction rule shows up the moment an analyst hesitates.

After go-live · K-VALUE

Find the steps that trip people up

Abandoned screens, repeat corrections, teams falling behind.

The problem

The project validates the system. Users learn on live samples.

A LIMS project puts its energy into method setup, instrument integration and computer system validation. End-user training tends to land at the very end, on a test instance someone has to keep current, or directly on the day’s samples.

×Go-live by surprise
  • Last-minute training on a test instance someone has to maintain.
  • Data entry corrections stacking up in the audit trail in the first weeks.
  • New hires trained over a colleague’s shoulder, on real samples.
  • Super users fielding the same questions instead of moving the lab forward.
✓Go-live, prepared
  • Exercises on a replica that never create a record in the validated system.
  • Guidance at the point of entry: the approach IFPEN uses to explain sensitive fields in its purchasing and project apps.
  • Help content owned in-house: IFPEN’s teams write and publish their own, and lab teams can too.
  • A repeatable method: each new application joins the program without starting over.
What the numbers say

In a regulated lab, training is a compliance requirement.

At IFPEN, 2,000 users per module get guidance as they enter data.

At IFP Energies nouvelles, researchers, engineers and support staff share business apps (purchasing in Cegid, time tracking, projects in Planisware) that some use every day and others a few times a year. K-NOW walks them through each step on screen and explains sensitive fields as they type. It’s the same need a lab has when it moves to a LIMS.

LIMS go-live timeline

Three phases, three roles, one data integrity standard.

Before go-live, each role rehearses its steps outside the validated system. At cutover, super users verify the migrated master data. On day one, analysts enter results on live samples, and every correction needs a documented reason.

The method

Four steps to get a lab ready for its LIMS.

Map each role’s tasks

Sample login, entry, calculations, review, approval: who does what, on which screen.

Train outside the validated system

K-STUDIO exercises on a replica. More on go-live training.

Guide the first results

K-NOW puts entry and correction rules right in the screen.

Track proficiency

K-VALUE shows where people stall, by screen and by team.

FAQ

LIMS software implementation: common questions.

What is LIMS software?
LIMS software, short for laboratory information management system, manages the sample lifecycle: sample login, testing, result entry, review, approval and reporting. It keeps every data point traceable, with an audit trail of who did what and when.
Why does training matter so much in a LIMS implementation?
In a regulated lab, user training is a requirement, not a nice-to-have. Section 11.10(i) of 21 CFR Part 11 requires that people who use electronic record systems have the training to perform their assigned tasks. See our GxP definition (in French).
How do you train users on a LIMS system without touching the validated environment?
With a simulation that reproduces the LIMS screens. K-STUDIO lets analysts rehearse result entry and review without writing to the database or maintaining a separate training instance.
How do you reduce data entry errors in a LIMS?
Explain the rule at the moment it applies: method, units, reason for change. K-NOW shows it in the relevant screen, with no change to the LIMS.
Does in-app guidance change the validated LIMS?
No. Help content sits on top of the application, with no change to its code or configuration. It is updated on its own schedule, outside LIMS releases.
How do you onboard new lab staff on a laboratory information management system?
Reuse the go-live exercises: new hires can replay them anytime. That matters in labs that are always hiring: ASCP reported an 18% vacancy rate in US medical laboratories in 2022.
How do you measure LIMS adoption after go-live?
Look at what analysts actually do: screens where they stall, steps they abandon, results corrected more than once. K-VALUE tracks it screen by screen and lab by lab.
