Use case · CMMS training and adoption

CMMS training: CMMS software is only as good as its work order close-outs.

Technicians on shifts, work done on tablets, tasks performed now and then: a CMMS lives in the field, far from the training room. If work orders are only half closed out, equipment history stays empty.

The short answer

How do you get a CMMS adopted?

By preparing field teams, not office users, at three points in the rollout.

Before cutover · K-STUDIO

Practice on PC or tablet

A playable replica with no training environment, close to the field.

At go-live · K-NOW

Guide the close-out

Time spent, parts, report: help on screen, at the moment of the task.

After rollout · K-VALUE

Measure data quality

Which sites close out fully, which fields stay empty.

The problem

Training happens in the classroom. Maintenance happens in the field.

Teams are never available at the same time, the training environment is rarely accessible and the task comes up days after the session. The side spreadsheet soon comes back.

×CMMS endured
  • Classroom sessions that can’t be scheduled for teams on shifts.
  • A training environment that is rarely available, and never on a tablet.
  • Work orders half closed out: no time spent, no parts, no report.
  • A side spreadsheet that comes back in the first week.
✓CMMS adopted
  • Exercises on a replica, on PC or tablet: SNCF Voyageurs trained 3,000 depot technicians.
  • Training delivered in the LMS, with no access to the live system: SNCF Réseau’s choice for 2,000 employees.
  • Guidance at close-out, on the very screen where the task happens.
  • Content owned in-house: 4 authors trained at a major airport operator.
What the numbers say

An installed CMMS is not a used CMMS.

In the field

SNCF Réseau rolls out Carl Source nationwide.

The Digitop project replaces outdated maintenance tools. K-STUDIO prepares teams on a Carl Source replica delivered through the LMS; K-NOW takes over in the live application after go-live.

2,000 employees

Operations managers, maintainers and planners, each on their own screens.

The life of a work order

Three moments, three roles, three ways to get the data wrong.

A work request is raised by dozens of occasional users, planned by a few experts, then closed out in the field, often on a tablet at the end of the day. Each moment needs its own support.

The method

Four steps to get field teams using your CMMS.

Map field tasks

Request, planning, close-out: who does what, how often, on desktop or tablet.

Practice before go-live

K-STUDIO exercises in the LMS, playable on tablets: see go-live training.

Guide the close-out

K-NOW prompts for time spent, parts and report on screen, at the moment of the task.

Measure data quality

K-VALUE shows, by site, the share of work orders closed out in full.

FAQ

CMMS training and adoption: your questions.

Why do CMMS rollouts struggle with adoption?
Because users work in the field, on shifts, and only perform some tasks now and then. Classroom training comes too early and the training environment is rarely available, so work orders get half closed out and the side spreadsheet comes back.
How do you train technicians on a new CMMS?
On a replica that runs on PC or tablet, before go-live. SNCF Voyageurs trained 3,000 depot technicians on the new version of GMAT with eight K-STUDIO modules, alongside two half-day classroom sessions.
Do you need a training environment for CMMS training?
Not to learn the processes. At SNCF Réseau, K-STUDIO exercises are delivered in the existing LMS, with no access to the live system, for 2,000 employees.
How do you make work order close-outs reliable?
By guiding the technician at close-out: time spent, parts used, report. K-NOW shows the rule on the relevant screen, with no change to the CMMS.
What happens when the CMMS gets a version upgrade?
The content follows. SNCF Réseau adapted most of its simulations and guidance when moving to a new version of Carl Source.
Who creates and updates the training content?
The project teams themselves. A major airport operator trained 4 in-house authors to keep its HxGN EAM content in step with the project.
How do you measure CMMS adoption?
Through data quality more than logins: share of work orders closed out in full, empty fields, sites drifting back to spreadsheets. K-VALUE shows it screen by screen.
What should a CMMS implementation plan include for users?
Three user milestones, not just a technical go-live: practice on a replica before cutover, in-app guidance for close-outs during the first weeks, and a data-quality review by site after a month. Technical configuration alone does not get technicians to close work orders properly.
