Use case · QMS and EHS software

QMS software: everyone is supposed to report, almost nobody logs in every day.

QMS software and EHS software have to work for the operator reporting a near miss, the supervisor opening a CAPA and the auditor pulling evidence. Most of those people log in a handful of times a year. When filing a report takes too many clicks, the report never gets filed.

The short answer

How do you implement QMS software that people actually use?

Make every report easy to get right the first time, even for someone who hasn’t filed one in months.

Before rollout · K-STUDIO

Practice on a replica

Report, classify, open a CAPA: every step rehearsed without creating test records in the live system.

While reporting · K-NOW

Guidance inside the form

What counts as a near miss, how to rate severity: the definition sits right in the field.

Ongoing · K-VALUE

Catch abandoned reports

Screens where people stall, records left half-finished, sites that lag behind.

The problem

The project configures the workflows. Frontline reporters figure out the tool on their own.

A QMS implementation is built with the quality and EHS teams: workflows, risk matrices, CAPA routing. Frontline employees get one training session, then come back months later, on the day something actually happens.

×Unprepared rollout
  • A one-time kickoff session, then nothing for months.
  • Fields people misread: actual vs. potential severity, cause vs. consequence.
  • Reports put off until later, then forgotten.
  • EHS and quality coordinators re-keying data and chasing people instead of analyzing trends.
✓Prepared rollout
  • Help in the exact field: at Soitec, sensitive fields are explained as people fill them in.
  • Occasional users who can finish on their own, without calling the business team.
  • Consistent practices across sites: Safran Seats guides 80 processes at 10 sites in its OnePLM program, a PLM rollout run on the same principle.
  • Content updated whenever a rule changes, without touching the application.
What the numbers say

An incident nobody reports is a hazard nobody fixes.

Occasional users

Soitec guides 1,200 users, mostly occasional, right where they enter data.

Soitec, a semiconductor materials manufacturer, has many users who only log in to submit a request or sign off on something. K-NOW shows help on the right screen, in the right field. A near miss report filed two or three times a year calls for exactly the same kind of support.

Inside a QMS and EHS software rollout

Three groups, three rhythms, one standard for every report.

EHS and quality coordinators are in the system every day. Supervisors come back to approve records and follow up on actions. Frontline reporters open it only when something happens. Each group needs a different kind of support.

The method

Four steps to a QMS implementation that sticks.

Map who reports what

Incidents, nonconformances, CAPAs, audits: who files what, how often and on which screen.

Rehearse before launch

K-STUDIO exercises on a replica, so nobody creates test records in the live system.

Guide every report

K-NOW puts definitions and rules in the field they apply to.

Track abandoned records

K-VALUE shows where reporters get stuck, site by site.

FAQ

QMS software and EHS software: common questions.

What is QMS software?
QMS (quality management system) software centralizes quality processes such as nonconformances, CAPA, audits and document control. EHS software covers the environment, health and safety side, starting with incident and near miss reporting. Together they provide the evidence auditors expect for ISO 9001, ISO 14001 or ISO 45001.
Why is QMS and EHS software adoption so hard?
Because the biggest user group, the people who report events, barely uses it. A training session at launch won’t stick for someone who files a report once or twice a year.
How do you train employees to report a near miss?
Start with a short exercise on a replica that people can repeat anytime, then add guidance inside the live form. K-STUDIO keeps test records out of the production system.
How do you improve the quality of incident reports?
Explain each field at the moment of entry: potential severity, a factual description, the cause. At Soitec, K-NOW explains sensitive fields on screen. In a QMS, the goal is fewer rejected records and less back-and-forth with coordinators.
How do you standardize QMS practices across multiple sites?
With the same guidance, targeted by site and by language. Safran Seats did this in its OnePLM program, a PLM rollout rather than a QMS: 80 guided processes for 10 sites in 5 countries.
Does in-app guidance change the QMS software itself?
No. Help runs as a layer over the application and is updated without a release, which matters when a rule or a risk matrix changes.
How do you measure adoption after a QMS implementation?
Track records that get started and abandoned, screens where people stall and time to complete by site. K-VALUE reports it form by form.
